Who we are

The data controller.

EGRA events are run by the Embassy Gardens Residents' Association (EGRA), which is the data controller for the personal information collected when you sign up. You sign up for EGRA events here on egra.org.uk. Where you are a leaseholder who also chooses to support Right to Manage, the transfers described in EGRA's Right to Manage privacy notice may also apply; otherwise your event details stay with EGRA.

What we collect and why

Only what the event needs.

When you use an event sign-up form we collect your name, email address, phone number, your building or phase and flat, whether you are a resident leaseholder, investor leaseholder, overseas owner or tenant, and which event you are signing up for. We use this so EGRA can:

• organise the event, manage places and let you in on the day;
• contact you about the event, including any changes;
• keep EGRA's record of residents' contact details up to date, so we can represent and help manage the community; and
• answer any questions you send us.

Our lawful basis is your consent, which you give by submitting the form and can withdraw at any time, together with our legitimate interest in representing and managing the Embassy Gardens community.

Where a ticket price or donation applies, payment is by bank transfer using the account details shown to you after you book, quoting the reference we give you. We do not take card payments and we do not see or store any card details. This site sets no analytics or advertising cookies.

Who sees it

Never sold. Never marketed. Never passed on.

Your information is seen by the small number of EGRA volunteers who organise events and represent the community, and it is used only for that work. When you submit a form, your details are sent to and stored in EGRA's secure events system (provided by Supabase), which acts as our data processor under our instructions; the website itself is hosted by Netlify. EGRA reconciles sign-ups by hand with its record of residents so the list stays accurate.

We will never use your details for direct marketing, and we will never sell them or pass them to anyone else. The one possible onward transfer is this: if an Embassy Gardens RTM Company is established, the membership details of leaseholders who have chosen to join it transfer to that company so it can manage the building, as set out in EGRA's Right to Manage privacy notice. Event-only sign-ups are not transferred.

How long we keep it

Kept while we represent the community.

We keep your information for as long as EGRA represents and helps manage the Embassy Gardens community, so we can run events and keep you informed. If an Embassy Gardens RTM Company is established, the membership data of those who have chosen to join passes to that company under its own privacy notice. You can ask us to delete your information at any time (see below) and we will act on that request.

Your rights

You stay in control.

Under UK data protection law you have the right to see the information we hold about you, to correct it, to have it deleted, to restrict or object to how it is used, and to withdraw your consent at any time. To exercise any of these, email info@egra.org.uk and we will respond within one month.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.

Changes

If this notice changes, we'll say so.

Any material change to this notice will be published on this page with a new date. We will not quietly weaken it.
