Who we are

The data controller.

The Embassy Gardens Residents' Association (EGRA) is the data controller for the personal information you give us through this website. You can contact us about anything in this notice at info@egra.org.uk, or by post: Embassy Gardens Residents' Association, Ambassador Building, 5 New Union Square, Nine Elms, London SW11 7BR, United Kingdom.

Where you are a leaseholder who also chooses to support Right to Manage, the transfers described in EGRA's Right to Manage privacy notice may also apply; otherwise the details you give here stay with EGRA.

What we collect, and when

Only what each form needs.

We collect personal information through four forms on this website. In each case you choose what to give us, and submitting the form is how you consent.

• Joining EGRA — your name, email, phone number, and your building and apartment, so we can add you to the membership register, match you to your building and keep you informed.
• Booking an event — your name, email, phone, building and apartment, whether you own or rent, your team or team name where it applies, and the details of anyone you book in with. Booking an event also updates EGRA's residents' register.
• The Staff Appreciation Fund — your name, email, phone, whether you own or rent, your building and apartment where you give them, the amount you pledge and any message, so we can acknowledge your gift and match your bank transfer.
• Our newsletter — the email address you ask us to send The Dispatch to.

We use this information to run the association and its events, manage places and payments, keep the residents' register accurate so we can represent and help manage the community, send you updates you've asked for, and answer your questions. Our lawful basis is your consent, which you can withdraw at any time, together with our legitimate interest in representing the Embassy Gardens community.

Where a ticket price, donation or pledge applies, payment is by bank transfer using the account details shown to you after you submit the form, quoting the reference we give you. We do not take card payments and we do not see or store any card details. This site sets no analytics or advertising cookies.

Who sees it

Never sold. Never marketed. Never passed on.

Your information is seen by the small number of EGRA committee volunteers who run the association, its events and the Staff Fund, and it is used only for that work. EGRA reconciles sign-ups by hand with its record of residents so the list stays accurate.

To run this website we use a few service providers (processors) who handle data under our instructions, or whose services your browser contacts when a page loads:

• Supabase — stores the details you submit in EGRA's secure database (servers in the EU/UK region).
• Netlify — hosts the website and serves the pages. Its servers process your IP address, as any web host does, to deliver the site.

The site's fonts are served from egra.org.uk itself, and the sign-up forms talk to Supabase directly, so opening a page does not hand your browsing to any other third party.

We will never use your details for direct marketing, and we will never sell them or pass them to anyone else. The one possible onward transfer is this: if an Embassy Gardens RTM Company is established, the membership details of leaseholders who have chosen to join it transfer to that company so it can manage the building, as set out in EGRA's Right to Manage privacy notice. Event-only sign-ups are not transferred.

How long we keep it

Kept while we represent the community.

We keep your information for as long as EGRA represents and helps manage the Embassy Gardens community, so we can run events and keep you informed. If an Embassy Gardens RTM Company is established, the membership data of those who have chosen to join passes to that company under its own privacy notice. You can ask us to delete your information at any time (see below) and we will act on that request.

Your rights

You stay in control.

Under UK data protection law you have the right to see the information we hold about you, to correct it, to have it deleted, to restrict or object to how it is used, and to withdraw your consent at any time. To exercise any of these, email info@egra.org.uk and we will respond within one month.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.

Changes

If this notice changes, we'll say so.

Any material change to this notice will be published on this page with a new date. We will not quietly weaken it.
